ABOUT THE ASSOCIATED STUDENTS OF UCSD (ASUCSD)
The Associated Students of the University of California, San Diego are the elected and appointed representatives of the UC San Diego student body. The ASUCSD works to promote student engagement through its services and leadership opportunities. The ASUCSD seeks to foster a cohesive community through active interaction and communication with students, the administration, and the greater San Diego Community. ABOUT THE ASSOCIATED STUDENTS OFFICE OF CONCERTS & EVENTS (ASCE)
About ASCE — The Associated Students Office of Concerts & Events (ASCE) is the student programming board responsible for some of the largest and longest-standing campus traditions at UC San Diego, such as You At The Loft, Bear Gardens, Horizon, Senior Send-Off and the Sun God Festival. Guided by student input, we spearhead a culture of innovative and professional-level event planning and marketing, as well as, provide opportunities for the student body to actively contribute to and professionally develop from our events.

GOALS AND PROJECTS FOR THE 2025 - 2026 TERM
In the 2025 to 2026 school year, the ASCE team shall work to:

Develop quality programs, events, and marketing for all undergraduate students and their dependents while following all health and safety regulations.

Curate a wide range of programming that brings students together by promoting diversity and community building.

Increase the promotion of Sun God Festival online registration, and receive at least 18,000 registered students.

Increase the number of undergraduate students participating in Bear Gardens.

Expand student-centered brand sponsorships for a variety of ASCE events.

Begin planning events one quarter ahead to provide adequate marketing time for each event.

Increase ASCE brand visibility around campus and on online social media platforms.

Increase the retention of Event Volunteers and General Body Members to build connections between ASCE and the student body.

Continue to work on providing transparency between ASCE and AS as well as the student body through consistent website information and updates, office hours, and quarterly surveys.

Provide firm, executable training for all members to ensure transfer of knowledge between current and future ASCE teams.

Foster sustainable practices for encouraging and developing all ASCE members to create momentum for future years’ members

Increase collaboration and partnerships between on-campus services and organizations to build connections with different student groups.

Increase accessibility for student input and participation in ASCE event programming and the music & entertainment industry space through leadership development.
About the ASCE Coordinator Positions (2025-26 Term)
General Requirements:
-
All staff members shall attend weekly department and bi-weekly general body meetings. For the 2025- 2026 academic year, general body meetings will be held on Thursdays at 5:00 pm (subject to change).

All staff members shall be present at all ASCE events, to the discretion of the AVP of Concerts & Events.

All staff members shall assist with the marketing of all ASCE events, including but not limited to posting on social media, postering, flyering and tabling.
-
All staff members will assist with the execution of all ASCE events.
-
All coordinators shall be responsible for supporting the director’s vision and assisting with the logistics of events (vendors, filling out forms, etc) as needed.
-
All coordinators shall assist in the setup and for the full duration of the Sun God Festival.
-
The ASCE coordinator positions have a weekly time commitment of roughly 10 to 15 hours per week.
Bear Garden Coordinator (1)
-
Shall assist in curating online event experiences .
-
Shall curate all aspects of the Bear Garden event series, including Bear Garden Senior Sendoff.
-
Shall oversee and delegate work to the Bear Garden intern(s).

Shall work with the Bear Garden Director and the Chief of Staff to ensure all Bear Gardens are properly staffed
-
Shall report to the Bear Garden Director for approval on all aspects pertaining to Bear Garden, and Bear Garden Senior Sendoff.
Special Events Coordinators (2)

Shall assist in curating in-person event experiences.
-
Shall assist in the coordination of all Special Events curated by ASCE.
-
Shall assist in communicating with interested individuals and organizations to plan collaborative events.
-
Shall report to the Special Events Director for approval on all aspects pertaining to all Special Events.
-
Shall work with the Special Events Director and Chief of Staff to ensure all Special Events are properly staffed.
-
Shall oversee and delegate work to the Special Events Intern(s).
Marketing Coordinator - Physical & Digital Marketing (2)

Shall be responsible for the printing and distribution of all marketing materials.
-
Shall be responsible for releasing marketing content via all ASCE social media platforms.
-
Shall work with the Marketing Director and AS Graphics Studio in the creation and design of all graphics for promotional purposes.
-
Shall report to the Marketing Director for approval on all aspects pertaining to the marketing of ASCE events.
-
Shall work with the other teams to create marketing timelines for all ASCE events.

Shall oversee and delegate work to the Marketing Intern(s)
Media Coordinator - Sponsorships, Partnerships, and Media (1)

Shall be responsible for sponsorships for ASCE events with a focus on the in-person events, Horizon Concert, Sun God Festival, and Bear Garden events.

Shall be responsible for capturing photo and video content at AS Concerts & Events program, meetings and events
-
Shall conduct post-production editing of photo and video content as needed
-
Shall work with Media Director to obtain new sponsors and maintain relationships with returning sponsors throughout the year.

Shall report to the Media Director (or Marketing Director depending on the event) for approval on all aspects pertaining to the marketing of ASCE events.

Shall work with the other teams to create sponsorship timelines for all ASCE events.

Shall oversee and delegate work to the Media Intern(s).
Festivals Coordinators (2)
-
Shall assist in curating in-person event experiences.
-
Shall work with the Festivals Director and Chief of Staff to ensure all shows curated by the Festivals team are properly staffed.
-
Shall assist in the coordination of all aspects of Horizon Concert and the Sun God Festival.
-
Shall assist in overseeing the Sun God Festival committees, delegating committee responsibilities, and appointing committee leads.
-
Shall assist in connecting with different on-campus entities on potential partnerships for the different festivals.
-
Shall report to the Festivals Director.
Coordinator for Chief of Staff:
-
Shall support member recruitment, engagement and retention throughout the 2025 - 2026 academic year
-
Shall support staffing management at Bear Garden events, and will assist in the staffing of other department events if given proper notice
-
Shall support with the Bear Garden Director and Festivals Director to assign volunteer roles for ASCE interns and general members

Shall support the ASCE intern and AS First-Year Fellow hiring process
-
Shall support the Chief of Staff coordinate ASCE-staff professional development
-
Shall support the Chief of Staff coordinate quarterly social gathering for ASCE staff members, interns and general members
-
Shall be responsible for maintaining office morale, including but not limited to planning socials and meeting with staff members, interns, and general members

Shall support the Chief of Staff coordinate the ASCE Staff Retreat with the Associate Vice President of Concerts & Events

Shall support the Chief of Staff coordinate ASCE General Body Meetings with the intent of engaging general members, including but not limited to skills workshops and industry speakers

Support the Chief of Staff coordinate the ASCE Internship and AS Fellowship program
