ABOUT THE ASSOCIATED STUDENTS OF UCSD (ASUCSD) 

The Associated Students of the University of California, San Diego are the elected and appointed representatives of the UC San Diego student body. The ASUCSD works to promote student engagement through its services and leadership opportunities. The ASUCSD seeks to foster a cohesive community through active interaction and communication with students, the administration, and the greater San Diego Community. ABOUT THE ASSOCIATED STUDENTS OFFICE OF CONCERTS & EVENTS (ASCE) 

About ASCE — The Associated Students Office of Concerts & Events (ASCE) is the student programming board responsible for some of the largest and longest-standing campus traditions at UC San Diego, such as You At The Loft, Bear Gardens, and the Sun God Festival. Guided by student input, we spearhead a culture of innovative and professional-level event planning and marketing, as well as, provide opportunities for the student body to actively contribute to and professionally develop from our events.

GOALS AND PROJECTS FOR THE 2024 - 2025 TERM 

In the 2024 to 2025 school year, the ASCE team shall work to:     

  • Develop programs, events, and marketing for all undergraduate students and their dependents while following all health and safety regulations.
  • Curate a wide range of programming that brings students together by promoting diversity and community building. 
  • Increase the promotion of Sun God Festival online registration, and receive at least 18,000 registered students.
  • Increase the number of undergraduate students participating in Bear Gardens.
  • Expand student-centered brand sponsorships for a variety of ASCE events.
  • Begin planning events one quarter ahead to provide adequate marketing time for each event. 
  • Increase ASCE brand visibility around campus and on online social media platforms.
  • Increase the retention of Event Volunteers and General Body Members to build connections between ASCE and the student body.
  • Continue to work on providing transparency between ASCE and AS as well as the student body through consistent website information and updates, office hours, and quarterly surveys.
  • Provide firm, executable training for all members to ensure transfer of knowledge between current and future ASCE teams.
  • Increase collaboration and partnerships between on-campus services and organizations to build connections with different student groups.
  • Increase accessibility for student input and participation in ASCE event programming and the music & entertainment industry space through leadership development.

The ASCE director positions have a weekly time commitment of roughly 15 to 20 hours per week. These positions are stipended.

GENERAL REQUIREMENTS

  • All staff members shall attend weekly staff and general body meetings
  • All staff members shall be present at all ASCE events, to the discretion of the AVP of Concerts & Events
  • All staff members shall assist with marketing and executing all ASCE events, including but not limited to postering, flyering, and tabling
  • All directors shall be responsible for sharing weekly department updates during staff meetings
  • All directors shall be responsible for completing weekly marketing requirements
  • All directors shall be responsible for training department coordinators and interns and delegating work on a consistent basis
  • All directors must be in San Diego by Fall Quarter and remain for the duration of the school year.
  • All directors shall be responsible for the execution of all ASCE events unless otherwise communicated and approved by the Associate Vice President and Chief of Staff ahead of time; or in the case of an emergency

CHIEF OF STAFF

  • Shall act as a representative for the Associate Vice President in their absence
  • Shall be responsible for managing member recruitment, engagement and retention throughout the 2024 - 2025 academic year
  • Shall be responsible for ensuring adequate staffing at Bear Garden events, and will assist in the staffing of other department events if given proper notice
  • Shall work with the Bear Garden Director and Festivals Director to assign volunteer roles for ASCE interns and general members
  • Shall be responsible for the ASCE intern and AS First-Year Fellow hiring process
  • Shall plan, budget, and coordinate at least one quarterly event targeted toward ASCE staff professional development Shall plan, budget and coordinate at least one quarterly social gathering for ASCE staff members, interns and general members
  • Shall be responsible for maintaining office morale, including but not limited to planning socials and meeting with staff members, interns, and general members
  • Shall plan, budget, and coordinate the ASCE Staff Retreat with the Associate Vice President of Concerts & Events
  • Shall plan, budget, and coordinate the ASCE Staff Orientation with the Associate Vice President of Concerts & Events
  • Shall coordinate and lead ASCE General Body Meetings with the intent of engaging general members, including but not limited to skills workshops and industry speakers
  • Shall regularly update and maintain all ASCE listservs
  • Shall oversee and delegate work to the Staff Development Intern(s) and AS Fellow(s)

TIMELINE

  1. The written application will close in two weeks, unless otherwise extended
  2. The hiring committee will score the applications after the application close date. This will take 1-2 weeks
  3. Once scoring is finished, you will receive an email notifying you if you’re a fit for the position. If you are, you will move on to the interview stage, which consists of a 30-minute interview
  4. Once the interview is finished, the hiring committee will meet and discuss if you are a good fit
  5. If you receive an offer and accept it, the HR paperwork will be sent and completed 2-3 weeks after your acceptance is processed.

The planned start date will be early to mid-August.
